Chargeback after you already refunded

How to run thisRefunds5 steps
CalculatorChargeback after a refund calculator · Calculator lives in the articleOpen

A refund and a bank chargeback are two messages. The card network does not net them. If the credit already posted and the chargeback also posts, you are out both amounts plus the fee you typed.

Pair: Chargeback after you already refunded on Refunds. The “safe day after refund” myth is a different job: refund overlap window. Sparing the ratio before a chargeback is a different job: refund one case to spare the ratio.

Read the status first

Posted. The credit is on the card. The chargeback still arrived. The overlap is the smaller of the two amounts. That overlap is the double debit. Send the acquirer the refund confirmation. Ask them to reverse that overlapping pull. Do not issue a second refund.

Still pending. Stop the credit if the chargeback is already in. If you let both finish, you pay twice and then chase a reversal.

Failed. The refund never left. Treat this as a chargeback. Fight or write it off on the usual rules. Do not fire a new credit “just in case.”

What the dollars mean

Type the refund and the chargeback. Type the fee from this statement. Blank fee is zero.

Write-off is the posted refund plus the chargeback plus the fee. If the acquirer reverses the overlap, you get that overlap back. Do not assume they also reverse the fee.

If the chargeback is larger than the refund, only the matching slice is the duplicate. The extra dollars are a real dispute.

After you ask

File the refund id, the ARN, and the chargeback case number with the acquirer. CS should not “make them whole again” on the same ticket.

Related: Chargebacks (the case can still sit in the ratio), MIDs (who reverses).

Procedure

  1. Name whether the refund posted, is pending, or failed.
  2. Type the refund dollars and the chargeback dollars.
  3. Type the fee from this statement, or leave it blank.
  4. If posted, send the refund proof and ask the acquirer to reverse the overlap.
  5. If pending, stop the credit. If failed, treat it as a chargeback.

Failure modes

  • Issuing a second refund so the customer ‘stops’.
  • Letting a pending refund post after the chargeback is already in.
  • Assuming the network nets the two messages.
  • Filling a sample fee instead of the line on this statement.

Worked example

None on this page yet. When one lands it will be a real case: what broke, the number, and what changed. Not a composite.

Glossary

Overlap
The smaller of the posted refund and the chargeback. That slice is the double debit. The acquirer reverses it. You do not refund again.

FAQ

Why did I get a chargeback after I already refunded?
The refund and the chargeback are separate messages. The network does not net them for you.
Should I refund the customer again so they stop?
No. A second credit is a third debit. Send the refund proof to the acquirer.
What fee should I type?
The fee on this statement. Leave it blank if you do not have it. Blank is zero. We do not fill one.
